How do I book a space?
Browse spaces, check your date on the booking calendar, then submit a request with your organization and contact details. Our events team confirms availability and sends a Facility Use Agreement to finalize your reservation.
What's included in the hourly rate?
Use of the room, tables and chairs, climate control, restrooms, custodial service, and complimentary self-parking in designated areas. Sound, lighting, and other equipment are available with prior approval and may carry a labor fee.
Is there a minimum booking?
All rooms have a 2-hour minimum, except the Gym (Sports), which has a 3-hour minimum. Setup and teardown time counts toward your booking.
Do members get a discount?
Yes. WCPC members save on every space — from $55 to $100 per hour depending on the room. Note your membership on the booking form and we’ll apply the member rate.
How do deposits and payment work?
A deposit of 50% of the rental fee is due at booking to hold your date, with the balance due one week before your event. Invoices are sent by email through QuickBooks.
Do you require event insurance?
Yes. Renters provide a certificate of liability insurance of at least $1,000,000 naming WCPC and its officers, employees, and volunteers as additional insured, due 30 days before the event. We can point you to a provider if you need one.
Can we serve food or have it catered?
Yes — you provide your own food, coffee, and supplies, and you’re welcome to bring a caterer. When the kitchen is used, a $150 cleaning fee applies. Please remove all food and supplies at the end of your event.
Can we serve alcohol?
Yes, with advance written approval and conditions. Beer, wine, and sparkling wine up to 20% ABV are permitted — no hard liquor, kegs, or open bars. A licensed caterer or sponsoring nonprofit holds the ABC permit, alcohol must be served (not self-serve) in a designated area with food and non-alcoholic options available, and you provide a $2,000,000 event insurance rider plus trained security (one per 150 guests). Smoking is not permitted anywhere on campus.
What about decorations?
Décor must be approved in advance, and nothing may be taped, tacked, or nailed to walls, woodwork, or furnishings. Freestanding candles and open flames aren’t permitted. Everything is removed at the end of your event.

Yes. We offer ADA-accessible entrances, restrooms, and step-free ground-level rooms, and we work with renters to accommodate guests with disabilities.
